Handover acceptance is the step that confirms a project before it is put into use: the customer and the contractor inspect each item, record the results in a report, and sign handover only when items have passed or a clear repair agreement is in place. This article provides a tick-box acceptance checklist with 5 groups of items, plus measurement methods and how to record the report. This article sets no Kadier acceptance threshold of its own — no minimum thickness, no minimum adhesion value, no maximum moisture, no waiting days before acceptance and no warranty period. Every comparison value is a value agreed in the contract and TDS for that project.
Note consistent with the already-live page: Kadier Acceptance and Warranty page presents 4 handover checks (substrate moisture measurement, film-thickness measurement, adhesion inspection, and a written acceptance report). The checklist below keeps those same 4 items and separates “appearance” and “documentation” into two independent groups for easier tick-box checking in the field; the live page also states clearly that the warranty policy has not been published, so this article makes no warranty-period commitment.
5-group acceptance checklist — take it on site
| ☐ | Item | How to check | Record in the report |
|---|---|---|---|
| ☐ | 1. Substrate moisture (checked from before coating) | Check the substrate moisture measurement file by the agreed method (for example ASTM F2170 or F1869); after application, observe moisture signs: blistering, bubbling, discolouration, edge lifting | Measurement method — measurement locations — results — photos |
| ☐ | 2. Film thickness | Measure with a dry-film thickness gauge at agreed locations; check evenness: thin spots, ridges, roller marks. Measurement per ISO 2808 or SSPC-PA2 when the contract cites those standards; the SSPC-PA2 80/20 rule is a rule of that standard, not a Kadier acceptance standard | Each measurement point — location — result — photos |
| ☐ | 3. Adhesion | Visually inspect the whole floor (blistering, delamination, hollow sound on tapping) and carry out a pull-off adhesion test at a location agreed in advance if the contract includes this item, recording the failure mode; agree in advance how test marks will be repaired | Test location — result — failure mode — how test marks will be repaired |
| ☐ | 4. Appearance | Inspect under the lighting actually used, not only construction lighting: even colour, consistent gloss or roughness per the approved sample, no dirt, no air bubbles, no roller marks, no wall-base or joint defects; line markings (if any) in the correct positions | Defect location — description — photos — severity |
| ☐ | 5. Handover documentation | Check the file is complete: TDS of each system used; application log (temperature, humidity, each coat); measurement reports (moisture, thickness, adhesion); before-and-after photos; cleaning and maintenance instructions; list of points to be fixed and repair deadlines agreed per the contract for each project; signatures of both parties and handover date | Whether each document type is present or missing — who holds the original |
Common defects and how to record them in the report
Each inspection point should be recorded at one of three levels: “pass”, “needs repair” or “fail”. For “needs repair” and “fail”, the report must state the location, a description of the defect, photographs and the repair deadline agreed per the contract — this article does not set a generic number of repair days. Common defects include: blistering and bubbling from substrate moisture, edge lifting at wall bases and joints, uneven film thickness, air bubbles and dirt trapped in the coating, uneven colour between zones, and a file missing pre-application moisture readings. If the file has no pre-application moisture readings, that is a documentation shortcoming to be recorded clearly, not a pass.
When not to sign handover yet
- No pre-application substrate moisture measurement file, or results that do not match the agreed application conditions.
- Widespread delamination, blistering or through-coat cracking still unrepaired and unrechecked.
- Film thickness or adhesion at agreed locations not yet measured and recorded, or results not yet compared with the agreed system design.
- Handover documentation missing the TDS, application log or measurement reports.
- The list of points to be fixed has no repair deadline or responsible person per the contract.

After handover: what the file is kept for
The acceptance file is the baseline for monitoring the floor in service: film-thickness measurement points, adhesion test locations and acceptance photographs will be the comparison basis when the floor is re-inspected after 6 months and 12 months of use. A complete file helps distinguish defects emerging from application from damage caused in service, and helps later localised repairs hit the right location and the right coat system.
Frequently asked questions
Is a visual inspection enough for acceptance?
No. The eye can only assess appearance. Substrate moisture, film thickness and adhesion must be measured and recorded by the agreed method, with a written report.
Is the SSPC-PA2 80/20 rule a Kadier acceptance standard?
No. It is a rule of the SSPC-PA2 standard, applying only when the contract cites that standard. This article does not turn that rule into a Kadier acceptance threshold.
What happens if a defect is found after handover has been signed?
The basis for handling it is the acceptance report and the contract for each project, together with the measurement file and photographs kept. That is why recording the report fully before signing matters more than fixing defects afterwards.
Does this article commit to a warranty period?
No. The Kadier Acceptance and Warranty page states clearly that the warranty policy has not been published; this article states no number of years or warranty scope.
